Activities

As part of the project, the following activities are planned:

Team of experts, will conduct the evaluation of two water tourism trails:

  1. Kayak trail along the river Bug – from Werchabuz (Ukraine) along the river Bug and its part along the border, to the Wyszkow Commune in Poland (approximately 700 km of the trails),
  2. Kayak trail along the Dniepro-Bug Canal and Muchawiec river – from Bielin (in Bielarus near Brest, Drohiczyn region) to Brest (approximately 100 km of the trail).

The exact length of the trail will be known after the evaluation process and it might change slightly, due to the fact, that the trail includes some parts, where water tourism is prohibited.

The evaluation will involve the rafting along the rivers with GPS equipment, in order to set two cross-border trails, daily kayaking tracks (around 32 tracks along the Bug river, 4 tracks on the Dniepro-Bug canal and Muchawiec river), spots to place the warning, touristic and information signs, places which lack touristic facilities, spots to mark as valuable due to nature, culture or history of the place. The evaluation of the trail is an essential part of initial phase of the project. This activity will be realized by all three partners, using the mutual experiences in establishing touristic trails.

The Ukrainian Partner will execute the signage of the trail and touristic facilities from Werchabuz (Zloczow region) until the border with Poland, near Golebie. This activity involves the creation and installation of 165 warning and information signs along 165 km of the kayak trail. Apart from this, the activity includes creating the tourist facilities in the places to rest for the tourists after a day of kayaking. The resting spots, set during the trail establishment process, will be located approximately 20-30 km far from each other. Ukrainian partner will be responsible for establishing 7 resting spots. In each spot there will be: 1 information board (which will include the map of this part of trail, natural landmarks), 1 dustbin, 1 innovative megaphone, which will work as a rain and rest shed and tool to listen to the wildlife. In one of the resting spots, three megaphones will be installed.

Also, this activity implies making and setting one view tower, which will be located along the kayak trail. Apart from this, as a part of the activity, a tool to monitor tourist traffic will be set.

The Ukrainian Partner, Sokal District Council, will be responsible for execution and financing this activity.

The Belarus Partner will execute the signage of the trail and touristic facilities on the Dniepro-Bug Canal and Muchawiec river from Bielin (Drahičin region) until the border with Poland, near Brest.

This activity involves the creation and installation of 80 warning and information signs along 100 km of the kayak trail.

Apart from this, the activity includes creating the tourist facilities in the places to rest for the tourists after a day of kayaking. The resting spots, set during the trail establishment process, will be located approximately 20-30 km far from each other. Belarus partner will be responsible for establishing 4 resting spots. In each spot there will be: 1 information board (which will include the map of this part of trail, natural landmarks), 1 dustbin, 1 innovative megaphone, which will work as a rain and rest shed and tool to listen to the wildlife, and installation of 4 platforms floating near the river bank. In one of the resting spots, three megaphones will be installed.

Also, this activity implies making and setting one view tower, which will be located along the kayak trail.

The Belarus Partner, Departament of Education, Sport and Tourism of Drahičin District Executive Committee, will be responsible for execution and financing this activity.


The Leader of the Project will execute the signage of the trail and touristic facilities on the Bug river and little architecture from the border with Ukraine (near Gołębie), along the border, untill Wyszków, in Mazowieckie Voivodship.

This activity involves the creation and installation of 535 warning and information signs along 535 km of the kayak trail. Apart from this, the activity includes creating the tourist facilities in the places to rest for the tourists after a day of kayaking. The resting spots, set during the trail establishment process, will be located approximately 20-30 km far from each other. The Leader will be responsible for establishing 25 resting spots. In each spot there will be: 1 information board (which will include the map of this part of trail, natural landmarks), 1 dustbin, 1 innovative megaphone, which will work as a rain and rest shed and tool to listen to the wildlife.

Also, this activity implies making and setting six view towers, which will be located along the kayak trail.

The Leader of the Project, Drohiczyn Commune, will be responsible for execution and financing this activity.

Creating of Centre of Kayak Tourism in Sokal (UA) will help to promote the natural heritage and kayak tourism on the newly created tourist trails and popularize tourism in the cross-border regions. The Centre will be constructed from three containers (120 m2 surface) with access for the disabled.

In the Centre of Kayak Tourism, there will be:

  1. IT for tourists and kayaks – in the building, there will be an information point, containing kayak excursions offers along the newly created trails, database of kayak and other equipment rentals, offers of tourist companies. In order to serve this point, a set of furniture, a computer with software and infokiosk will be purchased.
  2. The spot for kayak animation – in order to promote kayak tourism, in the Centre there will be organized various meetings with kayakers and lectures about kayaking, as well as exhibitions of places with particularly valuable spots, including pictures from the trails and different kayak excursions. In order to organize meetings and exhibitions, LCD TV and projector with a screen will be bought
  3. The spot for kayak activity – The Centre for Kayak Tourism will organize kayak excursions, so individual tourists will be able to rent a kayak free of charge. For these excursions, single person and two-persons kayak will be bought, as well as the necessary equipment and the trail to transport it. The kayaks and the equipment will be provided free of charge to tourists and other user.
  4. The spot to organize excursions along the trail – to prolong the season, diversify the tourist offer and enable the elderly and disabled to benefit from the kayak trails, catamaran will be bought. It would be an alternative for people, who cannot fully benefit from the trail (e.g. the disabled). The catamaran will be managed by the Centre of Kayak Tourism in Sokal and will be rented free of charge.

The Centre will be equipped with electronic translation devices for foreign tourists to eliminate the language barrier. These sets will be rented free of charge and used during the meetings in the Centre, as well as during kayak excursions.

Due to the lack of proper accomodation infrastructure near the kayak trail, in order to organize excursions, that are longer than one day, tents and matteraces will be purchased and provided free of charge for the kayak trips.

The Centre will be available to use free of charge.

The Belarus Partner, Departament of Education, Sport and Tourism of Drahičin District Executive Committee, will be responsible for this activity.

This activity includes the creaton of Centre of Kayak Tourism in Drohiczyn (PL), which will be used to promote natural heritage, kayak tourism on the newly created trails and promoting the tourism in the trans-border region. The Centre will be located in a building (surface: 300 m2), with the access for the disabled. The Centre will include:

  1. The Museum of Kayaking, which will present the history of kayaking in the region of river Bug (exhibition of ancient kayaks, paddles, life vests and other equipment, and the multimedia photograph exhibition). As a part of this activity, all the necessary elements will be set, including lights and multimedia.
  2. IT for tourists and kayaks – in the building, there will be an information point, containing kayak excursions offers along the newly created trails, database of kayak and other equipment rentals, offers of tourist companies. In order to serve this point, a set of furniture and a computer will be purchased.
  3. Spot for kayak animation – in order to address the needs of the disabled, childen, and people who are not very comfortable with water tourism, there will be a kayak symulator established. On this simulator, it would be possible to experience two kayak trails in the dry environment.
  4. Spot for Kayak activity – The Centre of Kayak Tourism will also include a tent with pool to test kayaks free of charge, organize kayak shows, kayak building workshops, in order to increase the durability of the project. The shows and workshops will be organized during the project and afterwards. By the pool, there will be platforms set in order to facilitate accessing the kayaks. The pool will be used for individual kayak testing, using the 10 kinds of kayaks available in the Centre. Also, it will be possible to test the kayak on the river – and for that purpose the trail to transport kayaks will be purchased. In addition, for the participants of kayak shows and workshops of kayak building, a set of chairs will be purchased.
  5. The spot to organize excursions along the trail – to prolong the season, diversify the tourist offer and enable the elderly and disabled to benefit from the kayak trails, catamaran will be bought. It would be an alternative for people, who cannot fully benefit from the trail (e.g. the disabled). The catamaran will be managed by the Centre of Kayak Tourism in Drohiczyn and will be rented free of charge.

In order to establish the Centre of Kayak Tourism in Drohiczyn, it is essential to redecorate the building, where it will be located. The essential list of works include adjusting the electical installation for the purpose of the exhibition, and hardening the ground near the Centre (in order to place a tent and pool for kayak shows).

The Centre will be equipped with portable electronic translation devices for foreign tourists to eliminate the language barrier. These sets will be rented free of charge and used during the meetings in the Centre, as well as during kayak excursions.

The Centre will be available to use free of charge.

The Leader of the Project, Drohiczyn Commune, will be responsible for financing and executing this activity.

  1. Organization of two international kayak rafting trips along the new trails, to promote natural heritage and exchange experiences. Representatives of touristic subjects, local authorities, sport communities and institutions of environmental protection from three countries will participate, to present new trails and strengthen the cooperation.
  2. Organization of three international educational meetings in Sokal (UA), Drohiczyn (BY) and Drohiczyn (PL). Representatives of local authorities, tourist organizations and environmental institutions from all three countries will participate in these meetings. Also, the value of the environment of cross-border regions, new trails, good practices of tourism organization with regard to environment preservation will be presented. Platform for strategy and future cooperation will be set. These events will strengthen the cooperation, help to exchange experience and stimulate the local community. All of the materials presented during the meetings will be distributed free of charge on the webpage of the project.
  3. The strategy established as a part of this project will be the background for mutual activities of the partners for the upcoming years. This strategy will include:
    • A proposal to develop newly created kayak trails as a tourist product;
    • A proposal to create tourist product along the kayak trails;
    • A proposal of promotion of newly created trails;
    • A proposal of other mutual activities of the partners in tourism;
    • A proposal of good practices of organizing the tourist activity, with regard to the environment and natural heritage preservation;
    • Materials, developed during the educational meetings and other project activities.

    The strategy will be shared free of charge on the official webpage of the project.

    This activity will be executed together by all the partners.

    As a part of this activity, the campaign promoting natural heritage, new cross-border trails and mandatory promotion of project was planned. This campaign will promote two kayak trails: along the river Bug, connecting Poland and Ukraine, and the kayak trail along the Dniepro-Bug Canal and Muchawiec river, connecting Belarus with Poland. Bot Trails will be the part of one tourism product. The campaign will include:

    • creating the visual identification of the trails (leaflets regarding the trails, with the conent in Polish, English, Belarussian and Ukrainian), waterproof smartfone case for tourists, fridge magnets,jigsaw, postcards with landscapes from the trail. The materials will be distributed free of charge in the newly created Centres of Kayak Tourism and during the Tourist Fairs. These materials will also be shared with local authorities, along the kayak trail.
    • guides – two guides presenting two newly created kayak trails. Guides will contain the trail description, the areas environmentally valuable, information about the tourist base and the most important information from the tourists’ point of view. The content will be in Polish, English, Belarussian and Ukrainian. The guides will be distributed free of charge in the newly created Centres of Kayak Tourism and during the Tourist Fairs. These materials will also be shared with local authorities, along the kayak trail.
    • maps –  This activity includes creation of maps for two newly created trails. For both trails two types of maps will be created: a) Big format map – it  will include the entire trail, with the areas environmentally valuable, information about tourist base and the most important information from the tourists’ point of view.  B) Small format map – it will include specific parts of the trail, with precise description of specific part and tourist base along the trail. The content will be in Polish, English, Belarussian and Ukrainian. The maps will be distributed free of charge in the newly created Centres of Kayak Tourism and during the Tourist Fairs. These materials will also be shared with local authorities, along the kayak trail.
    • webpage of the project – it will include the information regarding the project, newly established kayak trails (including the desriptions and pictures), description of the regions environmentally valuable along the kayak trails, maps of the trails, files (PDF) with the maps of all the trails and smartphone application with the trail maps. The webpage will be adjusted to the needs of the disabled and will contain the content in Polish, English, Belarus and Ukrainian;
    • roll-up – this activity includes printing roll-ups with the name of the project, logos of funding institutions and information about the leader and partners. Roll-ups will be used during educational meetings, tourist fairs and will be a permanent component of the promotion inside the buildings of the institutions, which create this project. The content will be in Polish, English, Belarussian and Ukrainian;
    • flags – this activity includes purchasing flags, which will be used during educational meetings, tourist fairs, kayak excursions and other kayak events, in order to promote newly created kayak trails. Flags will contain graphics related to the trails;
    • smartphone application – this activity includes creating smartphone app, which will contain information about the project, maps of kayak trails with the possibility to connect with GPS. Tourists will be able to download the app from the webpage free of charge. The content will be in Polish, English, Belarus and Ukrainian;
    • computer game – to include children in the target group, this promotional campaign will include educational computer game, which will enable us to combine real world with the virtual reality and present necessary content. The game will be mainly targeted to children and teenagers. Aside from the promotion of the trails, the game will teach the players about the areas environmentally valuabe. The game will be available to play at the computers in the Centres of Kayak Tourism and will also be used during tourist fairs. It will also be possible to download the game free of charge from the webpage to the computer and smartphone. The content will be in Polish, English, Belarus and Ukrainian;
    • participation in the fairs – a very important component of promotion campaign will be the participation in different tourist fairs in order to promote the trails among the widest audience possible. The fairs create an incredible opportunity to present the touristic offer of the regions and promote the touristic potential of the region internationally. This position includes a participation in one fair per country (Poland – Warsaw, Ukraine – Lviv, Belarus – Minsk). Due to the location of the fairs in Poland (Warsaw), the cost will be incurred outside the Programme area, but essential for the project to succeed in accessing a wide audience. For the sake of the fairs, the stand consistent with the project topic will be created.
    •  information boards to commemorate the project – this will be established due to the obligation to inform the society about the project co-financed by European Union. This project includes purchasing and installing the information boards for the sake of the project. These boards will be installed at the view towers, at the beginning and the end of the trail and in the Centres of Kayak Tourism.
    • promotional film – The aim of this film will be to present the beauty of the river Bug, Dniepr-Bug Cannal and Muchawiec river, the beauty of regions environmentally valuable and kayaking as an interesting and active way of spending free time. The film will be available on the project webpage, Facebook fanpage, Youtube and many other Internet pages. The film will be in Polish, English, Ukrainian and Belarus.
    • photo exhibitions – In order to promote the trails multidimensionally (also directly), three permanent exhibitions installed in the Centres of Kayak Tourism were planned, containing pictures of the river Bug and the regions environmentally valuable, one for each partner. The exhibitions will consist of 20 big boards on wooden easels. They will be located temporarily in different places (museums, cultural institutions, schools) along the kayak trails in order to promote regions with high environmental value. During the project each of the partners will organize at least six exhibitions. The exhibitions will also be used after the project is finished.
    • profile on Facebook – to enlarge the target group of the project and to promote the newly created kayak trails, the profile of Facebook will be launched. It will be used to communicate with local residents and tourists.

    Those promotional activities will be aligned with the requirements of European Union regarding information and promotion  (ENI CBC Communication Guide) and grant contract. The activities will be executed together by all the partners.

     

    The task will be executed together in order to promote cooperation, effective and fast performance. In this activity, it was planned to create a management team to execute the project, which will consist of:

    • project manager from the Polish partner’s institution – responsible for overall project management, supervising other members of the project team, collecting information from other project team members to create reports, participating in competitive tendering process, realisation of other tasks, assigned to the role of team leader. Project Manager will be appointed from the Leader’s resources. An appointed person will have an experience in tourist project management, with appropriate knowledge and competences.
    • coordinator from the Belarus partner’s institution – will be responsible for performing the tasks of Belarus partner. The responsibility of the coordinator will include ensuring that competitive tendering procedure is correct, realization of infrastructure investment tasks, performing promotional activities in the assigned region, report on completed tasks to the project manager, organizing meetings etc. These persons will be appointed from the resources of the Partner. The person will have appropriate knowledge, competences and experience in tourist project management
    • coordinator from the Ukraine partner’s institution – will be responsible for performing the tasks of Ukraine partner. The responsibility of the coordinator will include ensuring that competitive tendering procedure is correct, realization of infrastructure investment tasks, performing promotional activities in the assigned region, report on completed tasks to the project manager, organizing meetings etc. These persons will be appointed from the resources of the Partner. The person will have appropriate knowledge, competences and experience in tourist project management.
    • Financial coordinator (from Poland) will be responsible for preparation of financial reports, final settlement of the project, accounting activities. This person will be appointed from the financial department, from resources of the Leader. This person will have appropriate knowledge, competences and experience in the co-financed projects.
    • Promotion specialist (from Poland) will be responsible for managing the promotion of the project, visualisation and information. This person will participate in the purchase of promotional materials and distributing it among the partners. The specialist will also manage the promotion in Partners’ countries and inform them how to organize promotional activities in their locations.

    Also, for the sake of fast and effective work, it has been planned to hire external specialists for the public procurement process and translations. None of the partners have sufficient resources in that aspect.

    The managing team will be responsible for monitoring the project, which includes financial reports, description reports concerning the project implementation. The team should meet at least quarterly to summarize the investment realisation over the past three months and gather necessary information for reports and evaluation of the project, as well as monitoring the project indicators. Also, during the meetings, particular parts of project completion will be

    discussed, and any potential threats analysed. In case of identifying potential risks threatening the project, appropriate measures will be taken to prevent or reduce the risks. Apart from quarterly meetings, the team will be in e-mail and phone contact.

    In order to certify the expenses, each of the partners will conduct separate audits on their part. The audits will  be conducted twice: first before the second advance payment, second – after finishing the project. In order to conduct these audits, external institutions and specialists will be hired, who have appropriate skills and entitlements, according to Program requirements.
